AP AUTOMOTIVE EVENTS LTD – TERMS & CONDITIONS

Effective Date: 24 April 2026

These Terms & Conditions govern all bookings and participation in events organised by AP Automotive Events Ltd (“we”, “us”, “our”). By booking or attending any event, you agree to be bound by these Terms.

1. Definitions

  • Event: Any driving tour, track day, or one-day automotive event organised by us

  • Participant: Any driver, passenger, or attendee

  • Vehicle: Any vehicle brought to or used during an Event

  • Third Parties: Any external providers, contractors, venues, photographers, or service providers

2. Booking & Payment

2.1. All bookings are subject to availability and confirmation.

2.2. For one-day events and track days, full payment is required at the time of booking.

2.3. For driving tours, a non-refundable deposit is required to secure your place. The remaining balance must be paid no later than 60 days prior to the event start date, unless otherwise agreed in writing.

2.4. Your place is not confirmed until payment has been received and confirmation has been issued.

2.5. By booking, you confirm that all information provided is accurate and complete.

3. Cancellations & Refunds

Driving Tours

3.1. Deposits are non-refundable and non-transferable.

3.2. If you cancel:

  • More than 60 days before the event: loss of deposit only

  • Between 30–60 days: 50% of total booking cost

  • Within 30 days: 100% of total booking cost

One-Day Events & Track Days

3.3. Cancellations within 28 days of the event are non-refundable.

3.4. Outside of 28 days, refunds may be offered at our discretion.

3.5. If your place can be resold, we may offer a refund or credit at our discretion.

General

3.6. We reserve the right to cancel or reschedule events. In such cases, you will be offered a full refund or transfer to a rescheduled date.

3.7. Events are time-specific services. By booking, you acknowledge that your statutory 14-day cancellation rights under the Consumer Contracts Regulations 2013 do not apply.

4. Participant Responsibilities

4.1. You participate entirely at your own risk.

4.2. You are solely responsible for your conduct, decisions, vehicle condition, and compliance with all applicable laws.

4.3. You must hold a valid driving licence, be fit to participate, and follow all event instructions and safety briefings.

4.4. You must maintain safe, independent driving at all times and must not drive in a manner influenced by other participants.

5. Vehicle Requirements

5.1. You are responsible for ensuring your vehicle is road legal (where applicable), roadworthy, and suitable for the event.

5.2. Road legality does not guarantee suitability for performance driving.

5.3. We do not carry out mechanical inspections or scrutineering.

5.4. We reserve the right to refuse any vehicle deemed unsafe or unsuitable.

6. Insurance

6.1. You are responsible for ensuring you hold appropriate insurance for the activity undertaken.

6.2. This may include track day insurance where applicable.

6.3. We do not provide insurance cover for participants or vehicles.

7. Conduct & Behaviour

7.1. Participants must behave in a safe and respectful manner.

7.2. We reserve the right to remove any participant without refund if behaviour is unsafe, illegal, or disruptive.

7.3. Failure to intervene in any instance does not constitute acceptance of responsibility.

8. Assumption of Risk

8.1. Automotive events involve inherent risks, including serious injury, death, and financial loss.

8.2. You voluntarily accept and assume all such risks.

9. Liability

9.1. Nothing excludes liability for death or personal injury caused by negligence or for fraud.

9.2. Subject to this, we are not liable for:

  • Loss or damage to vehicles or property

  • Mechanical failure

  • Indirect or consequential losses

  • Actions of other participants or third parties

9.3. We do not assess or guarantee participant competence.

10. Mechanical Failure & Recovery

10.1. We are not responsible for breakdown or recovery.

10.2. All associated costs and arrangements are your responsibility.

11. Third-Party Services

11.1. We act solely as an event organiser.

11.2. We do not operate, control, supervise, or manage venues, circuits, or safety systems.

11.3. Third-party services operate independently and are responsible for their own actions.

11.4. We do not sell package holidays. Third-party services are contracted directly between you and the provider.

12. Indemnity

You agree to indemnify and hold harmless AP Automotive Events Ltd, its team, contractors, and third parties against claims arising from your actions, including damage to property or third parties.

13. Force Majeure

We are not liable for disruption caused by events outside our control.

14. Media

You consent to photography and video use for promotional purposes.

15. Data Protection & Privacy

15.1. We process personal data in accordance with UK GDPR and the Data Protection Act 2018.

15.2. By booking or participating, you agree your data may be used for event administration, communication, safety, and operational purposes.

15.3. Your data may be shared with third parties where necessary for event delivery.

15.4. Our Privacy Policy forms part of these Terms and should be read alongside them.

15.5. By agreeing to these Terms, you confirm that you have read and understood our Privacy Policy.

16. Statutory Rights

Nothing in these Terms affects your statutory rights.

17. Governing Law

These Terms are governed by the laws of England and Wales.

18. Precedence

Event-specific terms take precedence over these general terms.

Schedule 1 – Driving Tours

  • You are solely responsible for your driving and compliance with all laws

  • You must not drive as part of a convoy

Radio Communications

  • Radios are for information only

  • They do not constitute instruction or control

  • You must not rely on them for driving decisions

International Driving

  • You are responsible for compliance with local laws

  • We are not liable for fines or enforcement

High-Risk Environments

  • You accept liability for damage, closures, and costs arising from use of roads such as the Nürburgring Nordschleife

Schedule 2 – Track Days

  • Non-competitive

  • No instruction provided

  • We do not supervise driving

  • The venue (e.g. Bicester Motion) controls operations and safety

Schedule 3 – One-Day Events

  • Participants and spectators attend at their own risk

  • Safety instructions must be followed at all times
